Job Description

We are seeking a professional, proactive, and service-oriented Office Services Asssociate to lead front desk and concierge operations while overseeing daily office services and light administrative support. This pivotal role ensures an exceptional experience for employees, visitors, and executives, while maintaining the smooth functioning of office logistics, events, and administrative needs.

The ideal candidate will serve as the face of the office and manage key tasks including mail distribution, vendor coordination, meeting support, and executive assistance. This role requires a polished, organized professional with excellent communication skills and a hospitality-driven mindset.

Pay Range: $24-$26/hr

Key Responsibilities:

Front Desk / Reception / Concierge

  • Greet and assist visitors with a welcoming, professional demeanor.
  • Manage incoming calls and voicemails, routing appropriately.
  • Coordinate visitor access and ensure compliance with sign-in protocols.
  • Deliver concierge-level support for employees and guests, anticipating needs and addressing inquiries efficiently.

Office Services & Support Activities (OSA)

  • Oversee mail and package receipt, sorting, and distribution.
  • Maintain overall office tidiness and organization, including kitchen and common areas.
  • Manage office supply and pantry inventory, placing orders as needed.
  • Prepare documents and presentations, such as compiling information into PowerPoint templates.
  • Organize and maintain files in alignment with company procedures.

Executive & Administrative Support

  • Provide light executive support including calendar management, travel booking, and expense reporting.
  • Assist with routine administrative duties and ad hoc project support.

Event & Meeting Support

  • Coordinate logistics for internal meetings and events, including invitations, RSVPs, room bookings, catering, AV setup, and material preparation.
  • Act as on-site host to ensure a polished and seamless experience.

General

  • Perform general administrative support as needed beyond core responsibilities.
  • Maintain a high level of professionalism, discretion, and responsiveness.

Qualifications

  • 3+ years of experience in office management, front desk coordination, or administrative support.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
  • High attention to detail and strong organizational capabilities.
  • Ability to multitask, prioritize, and adapt in a fast-paced environment.
  • Professional appearance and customer-service focused mindset.
